Co-Leader Travel Grant for UIndy-Led International Travel Programs Application Guidelines

 

Purpose

UIndy-led international travel programs are required to have at least two program leaders, a primary leader and a co-leader. The purpose of this grant is to increase opportunities for eligible UIndy faculty and staff to conduct international travel programs.

Definition

Each primary leader will sort out responsibilities of the co-leader for their travel program. These should be clearly defined. The primary leader should endeavor to include the co-leader in all aspects of program planning, execution and follow-up so that the co-leader will gain the necessary experience to become a primary leader in the future. Furthermore, in the case of an emergency, the co-leader must be prepared and capable to fulfill all responsibilities of the primary leader.

Eligibility

Any member of the UIndy faculty or staff with at least one year of work experience at UIndy is eligible to apply. Only one Co-Leader Travel Grant will be awarded per UIndy-led international travel program. All leaders must (1) have the approval of their immediate supervisor and (2) be able to demonstrate how the travel program is integral to their current job responsibilities. Staff grants will be limited to one per academic year. Staff members must be prepared to use accrued vacation time. International Faculty (faculty hired for teaching at UIndy international sites) are not currently eligible to receive the Co- Leader Travel Grant.

Procedure

A complete application package includes 1) a filled-out application form with all the required signatures and 2) supplemental documentation of the detailed program costs as advertised to all program participants.

Limited funds are available. Co-Leaders are encouraged to submit their applications as soon as possible once the trip has received an official “yellow light”. Notifications will be sent via email within four (4) business days from date of receipt.

Awards

Grants will be awarded in amounts up to $3,000 or the advertised estimated participants’ program costs, whichever is lower. That amount is dependent on available funds. Awarded funds will be submitted directly into program accounts, are not directly accessible to recipients, and cannot be used to cover 1) any other participants’ program costs, 2) any other miscellaneous program expenses, or 3) refunds of any kinds, and are not considered taxable income.
