Diploma Processing

As of December 2023, diplomas will be processed and mailed directly from Parchment, and digital diplomas will be available for all graduating students. The Office of the Registrar will no longer print and distribute diplomas.

Degrees are awarded once students have completed their degree requirements and after their academic or program advisor has released their diploma. Students will be notified via email from Parchment once their digital diploma is available, including a link to the Parchment site to create an account and instructions on how to access their digital diploma and receive their original paper diploma copy at no charge. Please note that students do not need to submit an order for their original paper diploma. The original copy will automatically be shipped to them within 10-15 business days of receiving the initial email from Parchment and confirming their diploma mailing address. Refer to important diploma mailing address details below.

Degrees will not be posted nor will transcripts be released if graduates have financial obligations or other holds on their record. 

Digital Diploma

Students who graduate December 2023 and later will receive a digital diploma in addition to their printed diploma. Graduates will receive an email with instructions for electronically claiming their digital diploma. 

Follow these simple steps:

  1. Check you school email for the award notification from Parchment. 
  2. Follow the link to set up your Parchment digital credentials account.
  3. Share your digital diploma on social media or download as a secure .pdf version.

Your digital diploma will always be accessible through your Parchment account. You can login and download or share it again and again – at no cost to you.

What You Can Do With A Digital Diploma

  • Easily share your digital diploma with employers with a secure and verified link.
  • Share with family, friends, and professional contacts on social media.
  • View your digital diploma download online at any time with permanent access.
  • Download your digital diploma and save as a PDF.
  • Many countries recognize digital diplomas.  Parchment Award diplomas are supporting the needs of international credentials.

Diploma Size

All undergraduate, graduate, and doctoral diplomas are 11 inches wide by 8.5 inches high. 

Diploma Name

UIndy considers the diploma to be a ceremonial document. Students are required to enter their diploma name when applying to graduate. As such, graduates may select either their legal first name or their chosen first name for their diploma. Diploma name changes must be requested prior to the student's graduation date. Graduates should take the following into consideration when selecting their first name on their diploma:

  • For Graduates Planning to Live/Work Abroad: Some countries may require your diploma for legal, immigration, and/or employment purposes.  A mismatch between your chosen name on a diploma and your legal name on other official documents (official transcripts, passport, etc.) may result in complications. To avoid these complications, graduates planning to live or work abroad are advised to utilize their legal first name on their diploma.
  • For Graduates Who Plan to Be Licensed: Some professional licensing bodies (medicine and allied health fields, law, etc.) may require you to use your legal name. Graduates who plan to be licensed and opt to use their chosen first name instead of their legal first name on their diploma may risk delay and/or rejection in their application for licensure or employment, or delay/rejection in any process that requires verification of educational records. To avoid these risks, graduates planning to be licensed are advised to utilize their legal first name on their diploma.

Reprints of diplomas due to the change to a student's first or last name will incur a fee.

Diploma Mailing Address

It is the student's responsibility to provide a sufficient/relevant diploma mailing address on their graduation application. This address may be different than the permanent mailing address on the student's record.  Any changes to the diploma mailing address should be made prior to the student's graduation date. 

Graduates will receive an email notification from Parchment after their degree has been awarded. Students will then have 72 hours to confirm or change their diploma mailing address. If graduates do not confirm their diploma mailing address in that 72-hour window through Parchment, their paper diploma will be mailed within 10-15 business days to the address they provided at the time of their graduation application.

Returned Diplomas

Any undeliverable diplomas will be returned to the Office of the Registrar. Upon receipt of a returned diploma, a notification will be sent to the student's UIndy email account informing them that they may pick up their returned diploma in the Office of the Registrar. The diploma will be held for one year after the student's graduation date, and if not retrieved, will be destroyed. If a graduate would like to order a replacement diploma, they may do so at their own cost by requesting a duplicate diploma.
